High School North Self-Contained Trash Compactor Bid Request
Notice to High School North Self-Contained Trash Compactor Bidders West Ottawa Public Schools will accept sealed bids for the High School North self-contained trash compactor as described in the attached specifications. Bids will be accepted until 2:00 P.M, Thursday, November 19, 2026, at which time they will be publicly opened and read aloud. No oral, telephonic, telegraphic, or facsimile proposals will be accepted. The bidding period shall be a once off event. Bid submissions shall be firm for ninety (90) days from the date of bid opening. Bids must be submitted on the attached bid form and be signed by the bidder. Two (2) signed copies of the bid form should be addressed to the attention of: Kyle Barr Chief Financial Officer West Ottawa Public Schools Administration Building 1138 136th Ave. Holland, MI 49424 Re: HSN Self-contained Trash Compactor A. The proposal, in duplicate, shall be submitted on the form provided herein with all required items of the form properly filled out. B. Any questions regarding this project, technical or not, shall be submitted via email, care of Tom Swifney, swifneyt@westottawa.net, no later than 48 hours prior to bid opening. All questions will be answered in writing with a copy to all bidders who have provided an email address. C. Proposals must be mailed or delivered in person to Kyle Barr, Associate Superintendent for Business Services, at the Administration Building located at 1138 136th Avenue, Holland MI 49424. All proposals must be sealed in envelopes, plainly labeled "HSN SELF-CONTAINED TRASH COMPACTOR BID" and must be received prior to 2:00 P.M., local time, on Thursday, November 19, 2026. This will be a public bid opening. Evaluation of proposals and award will be at a later date; the successful contractor will receive a letter of intent prior to receipt of contract. D. There will be no pre-bid meeting. Any questions regarding the bid should be directed to Tom Swifney, Director of Facilities, at swifneyt@westottawa.net. E. The Schedule of Work shall be as follows: Receive Bids 2:00 P.M November 19,2026 Anticipated award of contract December 14, 2026 F. All bids shall be accompanied by a sworn statement disclosing any familial relationship that exists between the owner(s) or any employee of the bidder and any member of the Board of Education of the School District or the Superintendent of the School District. The Board of Education shall not accept a bid that does not include a sworn and notarized familial relationship disclosure statement. G. All bids shall be accompanied by Affidavit Of Compliance - Iran Economic Sanctions Act in compliance with "Iran linked business" within the meaning of the Iran Economic Sanctions Act. H. Michigan Public Act No. 517 of 2012. The Board of Education shall not accept a bid that does not include the Affidavit Of Compliance. I. Applicable Michigan use and sales tax do not apply to this project. J. West Ottawa Public Schools' Board of Education reserves the right to accept or reject all or any portion of a bid, and is not bound to accept the low bid. A bid may be rejected, if not accompanied by a required bid security or by other data required by the Bidding Documents, or which is in any way incomplete or irregular. West Ottawa Public Schools shall have the right to waive informalities or irregularities in a bid received, and to accept a bid which, in the judgment of West Ottawa Public Schools, is in the best interests of West Ottawa Public Schools. K. Within ten days after being notified of the acceptance of the proposal, the bidder to whom the award is made will be required to enter into a written agreement in the form hereto specified with the West Ottawa Public Schools. L. The bidder may, during the bidding period, be advised by Addenda of additions or alterations to the Specifications. All such changes shall be included in the work and shall become part of the Contract Documents. M. The bidder shall visit the site of the work to fully inform himself of the existing conditions. It is highly recommended that bidders discuss the bids with Mr. Swifney prior to submitting a bid. Specifications for HSN New Self-Contained Trash Compactor Subject: Request for Quotation - New Sebright SC4260-1-6 Self-Contained Trash Compactor or equivalent 1. Purpose West Ottawa Public Schools is requesting proposals from qualified vendors for the supply and delivery of one (1) new self-contained trash compactor. The proposed equipment shall meet or exceed the specifications and requirements outlined in this Request for Proposal. 2. Equipment Specifications The vendor shall provide the following equipment: One (1) New Sebright SC4260-1-6 Self-Contained Trash Compactor or Equivalent, including the following specifications and features: A. Warranty ● Five (5) year structural warranty. ● One (1) year warranty on electrical and hydraulic components. ● All warranties shall commence from the date of delivery. B. Hydraulic and Electrical System ● 10 HP, three-phase electric motor. ● 10 GPM hydraulic pump. ● 44-gallon hydraulic reservoir. ● Straight push design with 6-inch hydraulic cylinders. ● Low-profile configuration suitable for a 44-inch loading dock. ● UL 508A-listed hydraulic power unit with weather cover. ● PLC controls operating on 24 volts. C. Container Construction ● 35-cubic-yard container capacity. ● Rectangular container design. ● 7-gauge steel construction on container sides and bottom. ● 7-gauge container floor. ● Heavy-duty bottom rails measuring 6" x 2" x 3/8". ● Abrasion-resistant charge chamber floor plate to minimize wear and extend equipment service life. D. Operator Controls and Safety Features ● Operator control station. ● Emergency stop switch. ● Key-lock switch. ● Container fullness indicator light. ● Three-quarter (¾) full / near-full indicator light. ● Hydraulic pressure gauge. E. Itemized equipment quotation, including all specified components and features. 5. Confirmation that the proposed equipment meets all specifications listed in this RFP. 6. Detailed warranty information and terms. 7. Estimated manufacturing and delivery lead time. 8. Shipping and delivery costs, listed separately. 9. Any applicable installation, startup, or commissioning costs. 10. Payment terms and conditions. 11. Identification of any deviations, substitutions, or exceptions to the requested specifications. 12. Pricing The proposal shall include a complete purchase and installation price for one (1) new Sebright SC4260-1-6 self-contained trash compactor or equivalent. It should also include all necessary hook-ups including power. The removal of the existing trash compactor. All additional costs, including freight, installation, startup, and applicable fees, shall be clearly identified. 5. Proposal Evaluation Proposals will be evaluated based on: ● Compliance with the requested equipment specifications. ● Total purchase, installation, and removal price. ● Warranty coverage. ● Delivery schedule. ● Equipment quality and reliability. ● Vendor qualifications and customer support. 6. General Requirements The equipment supplied shall be new, unused, and manufactured to meet the specifications outlined in this RFP. Any proposed deviations from the specifications must be clearly identified in writing and approved by West Ottawa Public Schools prior to purchase. West Ottawa Public Schools reserves the right to accept or reject any proposal, request additional information, and select the proposal that best meets its operational and purchasing requirements.
