PAVING PROJECT -- 3 YEAR BID
Three-year road paving work, including reclamation, grading, asphalt placement, and shoulder gravel on roads in Northfield, New Hampshire.
Description: BrightRidge is requesting formal bids for a three (3) year blanket purchase order for Wood Poles (Quotation Number: 9507). All purchases will be executed under a 3-year blanket order with BrightRidge reserving the option to extend the agreement for an additional one-year term, subject to mutual pricing agreements and supplier performance satisfaction. Anticipated pole quantities for the 3-year period are provided in the Request for Quotation; actual quantities may vary based on BrightRidge's needs. Poles will be ordered on a week-to-week, staggered basis throughout the duration of the agreement and order quantities per delivery will vary based on standard full truckload capacities. All orders must be coordinated directly through the BrightRidge Warehouse Manager at the time of order placement. Delivery & Logistics: Deliveries must be scheduled and received Monday through Friday between 8:00 AM and 3:30 PM; deliveries outside these hours are prohibited unless explicitly cleared in advance by warehouse management. Emergency exceptions (e.g., extreme weather or critical grid restoration events) may supersede standard delivery hours. Suppliers must state estimated time of arrival (ETA) for normal, non-emergency loads within their bid submission. Quality Assurance & Rejections: Any poles rejected by BrightRidge inspection upon or after delivery must be handled by the supplier. The supplier is responsible for issuing full credit for rejected material and/or arranging physical pickup of the poles, coordinated directly with warehouse management. Rejection reasons include, but are not limited to, failure to meet specified length, class or dimensional requirements; excessive checking, splitting, cracking, sweep or crook; improper preservative treatment; decay, rot, insect infestation, fungal damage; manufacturing/handling/transportation damage; missing/incorrect identification markings; or any other condition that, in BrightRidge's judgment, adversely affects structural integrity, safety, performance, or compliance. Pricing Requirements: All quoted pricing must remain firm and constant for the initial 3-year period of the contract. Escalation clauses or variable pricing models will not be accepted for the base term. Vendor pricing shall be FOB Johnson City, Tennessee (delivery site specified), and include applicable taxes, surcharges, incidental fees, and shipping charges unless otherwise stated. Scope & Ordering Structure: Blanket Purchase Order terms are detailed; suppliers may be required to provide lead times, manufacturer information, packaging indications, and estimated delivery dates. Standard procurement terms and invoicing: submit invoices upon delivery or pickup to ap@brightridge.com; payment is NET 30 from completion of delivery and receipt of invoice unless otherwise stated. BrightRidge is exempt from sales and federal excise taxes and vendors should quote less those taxes. Vendors may be required to provide business and taxpayer identification or a W-9 for new vendors. Specifications: All wood poles must comply with RUS Bulletin 1728F-700 and ANSI O5.1 Specifications and Dimensions for wood poles, and meet additional BrightRidge requirements including species, treatment (CCA with Emulsion Treatment/Climbing Enhancer to specified penetration), drilling per RUS Pole Framing Guide, inspection per RUS Bulletins 1728H-702 and 1728F-700, cleanliness, and minimum circumference at pole top per class as specified in Table 1.1. Nonconforming poles are subject to immediate return. Additional procurement information: Sealed bids will be received by BrightRidge until the stated due date and time and will be opened and publicly read. BrightRidge reserves the right to reject any or all quotations, to waive informalities, to negotiate with vendors, and to accept the quotation in its opinion that is in the best interest of BrightRidge. Quotations may be held for evaluation up to sixty (60) days and must remain effective for at least sixty (60) days after the due date.
