2022-053 (Kitchen Grease Traps, Facility's Sand and Acid Traps Renewal - YR 5 (26-27))

Description: PURPOSE: The purpose is to renew year 5 of the RFP Grease, Sand, and Acid Traps bid for Plano ISD Food and Nutritional Services (FANS) and Plano ISD Facilities. This RFP includes but not limited to the purchase of: •FANS Kitchen Grease Traps •Stadium Concession Grease Traps •Sand Traps •Acid Traps Vendors do not have to bid on all three types of trap cleaning to become an awarded vendor. You may choose one or all 3 of the types of traps. It is the vendor's responsibility to visit each site and verify size and condition of all traps and tanks. Site visits can be arranged by Brandi Reyes at 469-752-0187 or Facilities Main Line at 469-752-0180 for Facilities Grease Traps (Concessions) and Sand/Acid Traps. Site visits can be arranged by Chris Strong at 469-752-1489 for FANS Grease Traps at school campus locations. A listing of traps with sizes and quantities of each trap and service basis to be proposed upon is provided with this solicitation in the attachments. There are seventy-seven (72) grease traps, ten (10) sand traps, and a few acid traps. This proposal process, terms or prices may be negotiated. Any negotiable criteria will be established and notifications will be made to potential contractors. ANNUAL EXPENDITURE: The estimated expenditure for this contract is approximately $95,000.00 per year. $15,000.00 will be budgeted for Facilities' concession grease traps, sand and acid traps which will be paid through department funds. $80,000.00 will be budgeted for FANS kitchen grease traps which will be paid through federal funds. However, this estimate should not be construed to be a guarantee of either minimum or maximum since usage is dependent upon actual needs and available funding. This estimated expenditure may be exceeded by 10% annually. TERM: The term of this contract will begin on November 1, 2022 through November 1, 2023. Four (4) additional one (1) year extensions will be available for a possible total length of contract to be approximately five (5) years if agreed to in writing by both parties. All pricing shall be firm and calculable at the time of sale during the life of the contract and must conform and comply with the proposed pricing in response to the original solicitation. This proposal may be awarded to one or multiple vendors by line item, section or package as determined to be best value to the District.
