PART I - GENERAL INFORMATION 1.1 BACKGROUND NYOS Charter School-Not Your Ordinary School-is a free, public charter school that was founded in 1998 by a group of parents who wanted more out of education for their children. It is through a commitment to our students, our staff and our academic excellence that we have been able to grow into serving more than 1,700 students in PreK through 12th grade. 1.2 FUNDING NYOS is a Texas nonprofit corporation exempt from federal taxation pursuant to Section 501(c)(3) of the U.S. Internal Revenue. Funding for NYOS Charter School operations and programs are provided through fundraising, philanthropic grants, state, and federal funding. 1.3 SERVICES SOLICITED NYOS Charter School is soliciting a Request for Proposals (RFP) for comprehensive lawn care, landscaping, and grounds maintenance services for its campus in Austin, Texas. The campus consists of two (2) adjoining properties that together form a single contiguous site: ● 12301 N Lamar Blvd, Austin, Texas 78753 ● 12333 N Lamar Blvd, Austin, Texas 78753 Because the two properties adjoin one another, the grounds may be serviced as a single continuous operation. Respondents should price this solicitation accordingly, as a single contiguous campus rather than as two separate sites requiring independent mobilization. The Contractor shall be responsible for the entirety of the contiguous grounds, including all turf, beds, and hardscape situated between, behind, and around both buildings, and including the shared property line and any transitional or interstitial areas. No portion of the grounds shall be treated as outside the scope of services by reason of the property boundary between the two addresses. The selected contractor shall provide all labor, supervision, management, equipment, fuel, materials, and chemicals necessary to maintain NYOS grounds in a consistently safe, healthy, well-groomed, and professionally maintained condition appropriate for a premier educational environment. Services solicited under this RFP include, but are not limited to: ● Recurring mowing, edging, string trimming, blowing, and landscape bed maintenance on a seasonally tiered schedule - weekly, every two (2) weeks, or monthly depending on the time of year, as set out in the service calendar in Section 2.3 ● Quarterly enhancement service including tree clearance pruning, shrub and ornamental pruning, and landscape bed mulch refresh ● Irrigation system inspection, adjustment, seasonal programming, and repair at the 12333 N Lamar Blvd property ● Playground safety surfacing installation and depth maintenance ● Licensed chemical applications on an as-authorized basis ● Soccer field turf maintenance ● Storm and freeze debris response Field Verification of Quantities NYOS Charter School does not maintain current measured quantities for turf acreage, landscape bed square footage, tree inventory, or irrigation zone counts. Respondents are therefore required to attend the mandatory site walk described in Section 2.4, to field-verify all quantities necessary to price this work, and to submit their own measured quantities as part of their proposal. Any quantities stated elsewhere in this RFP are approximate, are provided for general planning purposes only, and shall not relieve the Contractor of responsibility for servicing the entirety of both properties. No Guarantee of Services This RFP and any resulting contract do not guarantee a minimum level of additional project work beyond the routine and quarterly grounds maintenance services described in this RFP. 1.4 TIME-FRAME An RFP packet will be available Tuesday, October 13, 2026, located at 12333 N Lamar Blvd, Building B, Austin, TX 78753 and on our website at the following link www.nyos.org The vendor is responsible for obtaining any updates or amendments to the RFP from the website. The deadline for submitting proposals for this RFP is Thursday, November 12, 2026, 12:00 pm. Site visits can be scheduled through the Operations Office by emailing Yara Martinez at ytorresmartinez@nyos.org and include the Chief of Operations, Matthew May at mmay@nyos.org. All visits must be scheduled and completed by Friday, October 30, 2026. Site walks may be scheduled on any regular school day between the date of posting and Friday, October 30, 2026. Respondents are strongly encouraged to schedule early in that window rather than in the final days, as walkthrough appointments are limited by staff availability and no extensions will be granted. Please note that NYOS Charter School will be closed for Thanksgiving Break from November 23 through November 27, 2026, and that award of this contract is subject to approval by the NYOS Board of Directors at its meeting on Tuesday, December 1, 2026. No contract shall be binding on NYOS Charter School until that approval is obtained. Respondents must be prepared to execute a contract, provide certificates of insurance, complete criminal history review of assigned personnel, and mobilize crews and equipment promptly following notification on Wednesday, December 2, 2026, in order to commence services on Monday, December 7, 2026. Respondents shall address this transition window specifically in the transition and startup plan required under Section 3.1. Late submissions will not be considered. There will be no exceptions. Bids received after the deadline will not be considered for this procurement.
