The Commission introduced the new Chair and a new local records field representative for the Cook County area. The primary business conducted involved the review and approval of a series of new records applications, add-ons, and amendments submitted by various county agencies, municipalities, and districts across the state.

The Commission reviewed and approved several Schedule/Application submissions regarding records retention for various state agencies, including the Illinois Commerce Commission, the Illinois State Board of Education, the Illinois Department of Transportation, and the Office of the Secretary of State. Discussions involved clarifying retention periods for specific permit and intern documentation, correcting typographical errors in retention schedules, and amending citations within the Illinois Commercial Relocation of Trespassing Vehicles Law.

The Commission reviewed and approved several agency schedule and application requests, including those for the Illinois Department of Revenue, the Office of the State Fire Marshal, the Illinois Department of Labor, and the Illinois Department of Insurance. The application for the Illinois Department of Corrections regarding inmate communication data files was deferred to a later meeting pending further clarification of definitions. Additionally, the Commission appointed a new FOIA Officer and an Open Meetings Act Officer.

The meeting focuses on the review and submission of grant applications for FY2027. Key items include the review of Workplace Skills Enhancement (WSE) grant applications, Penny Severns Family Literacy (FAM) grant applications, and Adult Volunteer Literacy (AVL) grant applications. For each grant category, the Board will move to submit recommendations to the Secretary of State for consideration.

The commission reviewed and approved several agency Records Retention Schedules and Applications, specifically for the Illinois Environmental Protection Agency, Illinois Department of Children and Family Services, Illinois Department on Aging, and the Office of the Secretary of State. Key discussions included adjustments to retention periods to align with federal OSHA documentation requirements, amendments to ADA legal citations within record descriptions, and the inclusion of additional record volumes stored at the State Records Center. Additionally, the commission reviewed submission guidelines for a pilot project regarding the electronic submission of Records Disposal Certificates.
