Summary
The selected consultant will be expected to perform the following tasks: Comprehensive Assessment: Review the College’s current records retention policies, procedures, and practices to identify gaps, inefficiencies, and areas for improvement; Schedule Review and Alignment: Evaluate the existing records retention schedule for consistency with the Ohio Revised Code, Ohio Attorney General guidance, and applicable state records retention requirements.
Recommend updates or revisions as necessary; Framework and Procedure Development: Design a practical, organization-wide framework for execution of the records retention schedule, including procedures for retention, storage, digitization, and lawful disposition; Training and Implementation Support: Develop training materials and conduct sessions to ensure staff understand and can effectively apply the updated retention schedule and procedures; Compliance and Monitoring: Provide strategies and tools to ensure ongoing compliance with Ohio law and internal policies, including methods to periodically review and update the program; Future-State Planning: Recommend long-term approaches for sustainable records management, including integration of digital solutions and processes that reduce reliance on physical storage.
