Additionally, the board coordinated details for an upcoming egg hunt event, including scheduling and volunteer recruitment.

The Planning Commission addressed several land development projects, including the approval of a minor land development at Adams Corners, a lot line revision for Meadow Creek Farms, a lot consolidation for Woodland Trace, and a subdivision for the Beilo property. The Adams Town Center subdivision proposal was tabled for covenant review. Additionally, the commission discussed a new document submission deadline policy, reviewed the January permit report, and received a summary of recent Board of Supervisors' actions regarding other local developments. A future work session was announced to interview candidates for a vacant seat and discuss buffer yards.

Additionally, the Commission approved a draft ordinance regarding the conditional use of townhouses in the Overlay District to be forwarded to the Board of Supervisors and reviewed several other draft ordinances related to commercial development, lighting, and zoning expansion.

The meeting included a public comment segment where a resident raised concerns about an unguarded train trestle, prompting a suggestion to write a letter to the Railroad company. A reorganization of the Planning Commission took place, resulting in the election of new officers for Chairman, Vice Chairman, and Secretary, along with the approval of the 2026 Meeting Schedule and Submission Dates. Under old business, the Tenacity Trail Subdivision received Preliminary Approval for a 5-lot subdivision, contingent upon ensuring adequate turnaround space for emergency vehicles. The commission also addressed draft ordinances, approving the Arena Ordinance with modifications to Section 2 and the requirement of a Traffic Study, and briefly reviewed items related to Change of Use and Application Process, Commercial Development Lighting, and Overlay expansion at intersections.

Old Business discussions focused on the 250th event, with assignments made for sponsorships and food vendors, and booking confirmed for bands, sound, stage, and fireworks. Follow-up items included securing national anthem singers and discussing sponsorships with the Southern Butler County Business Association. The status of an Eagle Scout project timeline and location finalization was addressed. New Business involved the approval to change all future meeting start times from 7:00 P.M. to 6:00 P.M. The board scheduled workshop sessions during future meetings for planning and improving existing special events, specifically discussing improvements for the Halloween event. Additionally, the board discussed programming opportunities and the potential application for a local Butler County grant to acquire AED enclosures for park pavilions.
